Promotional Reservation Info

The following policies strive to ensure an atmosphere that promotes NDSU events sponsored by active Student Organizations and Departments. Our goal is to maintain a framework that will serve various groups and support their needs in a fair and consistent manner.  The Memorial Union staff aims to accommodate your requests; given space limitations however, length of displaying time will be at the sole discretion of the Memorial Union. Please be sure to check size/type requirements for banners, flyers, table display inserts, and t-stand posters, before producing. If your materials exceed the maximum sizes allowed, they will not be posted or displayed.

Items not requiring a reservation:

Flyers

Flyers can be printed at the Memorial Union Copy Shop or Graphic Services.

a.    Flyers must be submitted to the Memorial Union Administrative Office Rm. 246 for approval, stamping and posting.
b.    All Flyers must promote specific events/programs that are targeted for the NDSU community.
c.    Flyers are posted on cork boards in three (3) locations around the Memorial Union.
d.    We accept up to two (2) flyers per NDSU approved student organization/department sponsored event.
e.    We accept one (1) flyer per non NDSU sponsored event.
f.     Materials to be posted must not exceed 11” x 17”.
g.    Name of the sponsoring organization and/or contact information must be visible on all posters.
h.    Flyers may be displayed for up to two (2) weeks prior to the date of the event.
i.     Flyers dropped off in advance of two (2) weeks prior to the event date will be refused. Please do not drop off flyers more than two (2) weeks in advance of the event date.
j.     Flyers will be removed the day after the posted event. All flyers will be recycled.
k.    Flyers with references promoting alcoholic beverages, tobacco, and/or commercial advertising will not be displayed as well as flyers with tear off strips.  
l.     The Memorial Union Administration Office has the right to refuse posting any flyers deemed not appropriate or those that do not meet stated policies.
m.    We shall make every attempt to post all flyers (space permitting). Flyers typically will get posted on the evening which they are dropped off.
n.     No flyers/posters or signs shall be posted on the exterior of Memorial Union, nor on walls, doors or glass anywhere on the interior walls of Memorial Union.

Classified/Want Ads

a.    All Classified Ads must be submitted to the Memorial Union Administrative Office Rm. 246 for approval, stamping, & posting.
b.    Classified Ads may be posted for up to two (2) weeks.
c.    All information must be contained on a 3”x 5” index card. Classified ads that exceed the size of a 3”x 5” index card will not be posted. Tear-off strips are not allowed.
d.    Contact name and information must be listed on all Classified Ads.
e.    Examples of Classified Ads includes: rooms for rent, equipment for sale, roommate wanted, etc.
f.    The Memorial Union Administration office has the right to refuse posting any Classified Ads deemed not appropriate, or those that do not meet stated policies.

Free Literature/Free Speech Rack

a.    Any person or groups of people wishing to distribute literature to the public in the Memorial Union may use the Free Speech/Literature racks located near the Service Center on the Main Level.
b.    All individuals or organizations responsible for distribution of literature on campus must be identified on the literature.
c.    Commercial brochures, flyers, posters, etc. are not permitted. Obscene materials as defined by North Dakota State Law (NDCC 12.1-27.1-01) will not be permitted and will be removed.
d.    One display space per publication/per group. If several display spaces are open, as many as three spaces may be used at one time.
e.    The Memorial Union is not responsible for damaged or stolen literature.

Items requiring a reservation:

Banners

Banners can be produced at the MU Graphics Shop (corner eye rings [grommets] and water proofing available).

a.    Banner space is available only to NDSU approved students organizations/departments/conferences.
b.    Banner space requires a reservation submitted to the Memorial Union Administrative Office Rm. 246.
c.    Banners may be reserved for a maximum of two (2) weeks per event.
d.    NDSU sponsoring organization/department may only reserve one banner space at a time.
e.    Banners that exceed the maximum size allowed will not be hung. Please be sure your Banner meets the minimum requirements below.
f.    Banners hung outside of the Memorial Union are subject to the possibility of theft or damage overnight. The Memorial Union has no responsibility for stolen or damaged banners.

Interior Banner Requirements – One (1) space available located in the West Entrance.
i.    Must be  3’ tall by 6’ wide
ii.    Reserve space for up to two (2) weeks, no extensions.
iii.    Equipped with four (4) corner eye rings for anchoring

Exterior Banners Requirements
– One (1) space available above South Entrance exterior doors.    
i.    Must be  3’ tall by 6’ wide
ii.    Reserve space for up to two (2) weeks, no extensions.
iii.    Equipped with two (2) middle and four (4) corner eye rings for anchoring.
iv.    Banner must be waterproof. Waterproofing is available at MU Graphics Shop for a fee.

Contact Tables

a.    Contact Tables require a reservation submitted to the Memorial Union Administrative Office Rm 246.
b.    Tables will be assigned by the Memorial Union Administrative Office.
c.    Seven (7) tables are available
d.    Can be reserved for seven (7) days and renewed for an additional seven (7) days if space is available.
e.    Can request one T-Stand with the table (must reserve at time of reservation).
f.    Internet Data Ports are limited and may not be available. Wireless access is available.
g.    Non-for-profit groups can reserve a table for free, one (1) day per semester.
h.    Items for sale or food/beverages must receive prior approval by Memorial Union Administration.
i.    Contact Tables are intended for student interaction; therefore members representing an organization must remain at the table at all reserved times.
j.    If the contact table area is left unattended, groups may be subject to a standard no-show fee and/or a cleaning and materials storage charge.
k.    Groups are responsible for cleaning the table area when finished by picking up all materials and garbage.
l.    A 24-hour reservation cancellation is required or the organization will be charged the standard no-show fee.
m.    Commercial groups are allowed to reserve contact tables for a daily fee.

Display Cages

a.    Four (4) display cages are available with an electrical outlet available in every cage.
b.    Display Cage requires a reservation submitted to the Memorial Union Administrative Office Rm. 246.
c.    To access display cages, please have NDSU ID card ready to check out a key (MU Admin Rm. 246).
d.    Display Cages are available only to NDSU approved students organizations/departments.
e.    One (1) cage may be reserved for two (2) weeks with an additional two (2) weeks if space available
f.    Name of sponsoring organization must be clearly visible in the cage display.
g.    Groups are responsible for maintaining up-to-date and professional looking display cages.
h.    Groups are responsible for cleaning out all promotional materials on the last day of the reservation.
i.    If materials are not cleaned out, groups will be assessed a standard cleaning and materials storage charge.
j.    Policy non-compliance may lead to loss of reservation privileges.

Literature Distribution

a.    Distributor(s) must register in advance in the Memorial Union Administrative Office Rm. 246, at which time the following information will be required.
(a) The type, location, date(s), and time of the distribution;
(b) a copy of the literature;
(c) the name of the organization represented, if any; and
(d) the name, address, and signature of the person or a group representative
b.    Literature distributions are limited to one location for no more than two consecutive weeks per group, with at least five class days between multiple registrations.
c.    In times when a large number of requests have been received, the Memorial Union Director reserves the right to reduce the two week time limit to accommodate as many users as possible.

Table Display Inserts

Table Display Inserts can be produced at the Memorial Union Graphics Shop.

a.    Table Display Inserts require a reservation submitted to the Memorial Union Administrative Office Rm. 246.
b.    There are forty (40) Table Displays located in the Lower Level Food Court.
c.    Reserved for seven (7) days.
d.    Maximum size is 4” wide by 6” tall (Single Sided)
e.    Maximum of forty (40) Table Display Inserts will be allowed per organization.
f.    Three (3) approved student organizations/departments are allowed to reserve a space at a time.  
g.    Bring Table Display Inserts to the Memorial Union Administrative Office Rm. 246 for approval.
h.    Table Display Inserts are not allowed in any lounges or other spaces in the Memorial Union.

Union Dining Buffet

a.    Table Display Inserts are allowed in the Union Dining Buffet.
b.    Permission and reservation must be obtained from the NDSU Dining Services office (Lower Level).

T-Stand Posters

a.    T-Stand Posters are only allowed in designated locations on the Main Floor of the Memorial Union.
b.    Nothing larger than 3’ wide x 5’ tall will be displayed
c.    Groups can reserve up to one (1) t-stand for seven (7) days. Two (2) T-Stand Posters may be reserved if space is available.
d.    Bring T-Stand posters in one day before the start of the reservation to be displayed by staff.
e.    T-Stand posters will be removed the day after the posted event.
f.    If you wish to pick up your poster at the conclusion of the reservation, please label and indicate your request on the back of the poster.
g.    T-Stand posters are required to have foam core adhered to the top and bottom of the poster.
h.    Please confirm your reservation before producing your posters. Posters will not be displayed if you do not have a reservation or if the poster size exceeds size guidelines.
i.    T-Stand Posters will not be stored in the Admin Office. If you have a reoccurring T-Stand reservation, please pick up and deliver your poster as necessary.
j.    The Memorial Union is not responsible for lost or damaged posters.

Union Dining Buffet
a.    T-Stand Posters CANNOT be reserved for display in or outside of the Union Dining Buffet.
